Users
Users are team members who need access the PlumeMapper web and mobile apps to conduct and review surveys.
Note: User accounts are separate from your administrator account. Your administrator account can only log into the Admin Portal.
Select Users from the sidebar to view and manage your users.

User Quota
The number of users you can have enabled depends on your subscription tier. The quota is shown at the top right of the page, e.g. 3 / 5 Users enabled (60%).
- Only enabled users count towards your quota.
- To add more users once your quota is reached, upgrade your subscription.
Users Table
The table lists every user in your account with the following columns:
- Name
- Phone
- Last Calibration - the date of the user’s most recent olfactory calibration.
- Calibration Status - calibrated or overdue.
- Account Status - see below.
- Enabled - whether the user can log in.
- MFA - Ready if multi-factor authentication is set up, otherwise Missing.
- Last Updated
Use the toolbar above the table to show or hide Columns, add Filters, change the row Density, Export the table, or search across all users.
Click a row to open that user’s profile.
Creating a User
1. Click the Create User button.
Note: This button is disabled if you don’t have an active subscription or your user quota has been reached.

2. Fill in the user’s details:
- Email Address (required) - must be unique across all PlumeMapper users.
- Mobile Phone Number (recommended) - in international format, e.g. +61 412345678.
- First Name and Last Name (recommended).
3. Click Create User. You will be taken to the new user’s profile.
The user will receive an invitation email with a temporary password. They will be asked to change their password when they first log in.
Note: The temporary password expires after 14 days. If the user hasn’t logged in by then, open their profile and click Re-send Invite Email.
Managing Users
Tick the checkbox next to one or more users to use the toolbar actions:
- Enable User - allows the selected users to log in. You can’t enable more users than your quota allows.
- Disable User - stops the selected users from logging in, without deleting them or their data.
- Sign Out - logs the selected users out of all their sessions.
- Delete User - permanently deletes the selected users. This cannot be undone.
You will be asked to confirm before users are signed out or deleted.

User Profile
Click a user to open their profile. The left card shows their details, whether their account is enabled, whether their email address is verified, their account status and their calibration status.

The following actions are available on the profile:
- Delete - permanently deletes the user.
- Reset Password - resets the user’s password. Only available once the user is enabled, confirmed and has a verified email address.
- Disable / Enable - stops or allows the user from logging in.
- Re-send Invite Email - sends a new invitation with fresh temporary credentials. Only shown when the user hasn’t logged in and their original invitation has expired.
User Details
Edit the user’s first name, last name and phone number, then click Save details.
Note: The email address cannot be changed. To use a different email address, create a new user.
Calibration Log
Keep a record of each user’s olfactory calibration (odour sensitivity testing) history.
1. Click Add New Calibration/Servicing Event.
2. Enter the details:
- Calibration Date (required) - only one event can be added per date.
- Calibrated Until Date (optional) - must be at least 14 days after the calibration date.
- Calibrated By (optional)
- Notes (optional)
3. Click Create New Calibration Event.
To remove an event, click the icon next to it.
Olfactory Calibration Reminders
Set when the user’s next calibration is due. This is used to show whether the user is calibrated or overdue.
- Set up Olfactory Calibration Schedule - a repeating schedule, e.g. every 12 months from the last calibration. At least one calibration event must be logged first.
- Set up Olfactory Calibration Date - a single due date in the future.
Click Set Olfactory Training Schedule to save, or Remove Olfactory Training Schedule / Date to clear it.
Note: A schedule or date overrides the “until” date of the most recent calibration event.
Manage Devices
Lists the devices the user has chosen to remember when logging in. Click the icon to forget a device; the user will need to fully authenticate on it next time.
